Part 4 — Report Details · Chapter 4.12

Work Completed to Invoiced

This chapter explains the Work Completed to Invoiced report. The rules every report shares are in chapter 4.1.

What it shows

The average number of days between finishing a job and invoicing it, in each month, quarter or year. A slow figure means money waits in finished work.

What you need to do to make it work

  1. Map your completed statuses. An administrator opens Reports > Setup > Milestone Mapping. Tick every status that means the work is done, such as WORK COMPLETED. Press Map Selected…, pick Work Completed and press Map. Until then, no work order has finished work, and the report is empty.

The Milestone Mapping tab in Reporting Setup with the Map dialog open. The Map Selected... button, a ticked status and the Milestone list are boxed in red

  2. Move the work order to that status when the work is done. The report reads the status change. The Date Closed field and the activities’ end times do not count.

  3. Approve and date each invoice. An invoice counts once its status reaches Approved and it has an Invoice Date. A draft or open invoice does not count yet.

A document on the Generated Invoices / Quotes tab. Its date and its Status are boxed in red: the date files it in a period, and the status must be Approved, Sent or later to count

  4. For business days, enter your holidays. An administrator enters them in Actions > Setup > Holiday Schedule (chapter 2.1).

Where the data comes from

  • The status changes on your work orders, from the audit log.
  • Your invoices, with their invoice dates.

How it is worked out

For each work order:

  1. BigWave finds the first time it reached a status mapped to Work Completed.
  2. It finds the first invoice dated on or after that day.
  3. The days between the two are the work order’s figure.

An invoice carries a date but no time. It counts from the start of that day on your company’s calendar, and an invoice dated the same day as the completion counts.

Each period shows the average of its work orders. Chart Data also shows the median, the middle value, which one slow job cannot drag up.

What counts

A work order counts when all of these are true:

  • It has an approved, dated invoice.
  • It reached Work Completed on or before that invoice’s date.
  • It and its project are not deleted, and it is not cancelled.
  • Its project is one you ticked in Projects.

A work order with no invoice yet is in no period at all.

Work orders left out

A work order with an invoice but no Work Completed before it is left out of the figure. A line under the chart counts them. If those work orders went through statuses nobody mapped, the line says so, and the left-out list names the statuses. Map them and the work orders come back.

Under View records, the Left Out of Report tab lists each one with the reason, such as “never reached Work Completed”.

Which date puts it in a period

The invoice date.

Options

  • Count picks Calendar days or Business days. Calendar days is the default. Business days count only Monday to Friday and skip your company holidays.
  • Group By offers Company, Customer, Region, Technician and Project. Each group shows its own average side by side.

Checking a figure

Press Chart Data, then View records on a row. The Data In Report tab lists each work order with:

  • Work Completed: the status, when it was reached and who changed it
  • Invoiced: the invoice number and its date
  • Calendar days and Business days
