Part 4 — Report Details · Chapter 4.7

Days Between Two Statuses

This chapter explains the Days Between Two Statuses report. The rules every report shares are in chapter 4.1.

What it shows

The average number of days work orders took to go from one status to another, in each month, quarter or year. You pick the two statuses. For example, QUOTE SUBMITTED to SCHEDULED shows how long customers take to say yes.

Where the data comes from

The status changes on your work orders. BigWave records each change in the audit log, with the time and the person who made it. The sync copies these changes into the reporting copy.

The report reads the status changes at once and stores nothing. It is as recent as the last sync.

What you need to do to make it work

The report needs no milestone mapping. It uses your own status names as they are. Two things still matter:

  1. Change the status as the work moves. The report reads the status changes in the audit log. A job moved straight from the first status to the last skips the ones between, and a job left in a status after the work moved on counts late.
  2. For business days, enter your holidays. An administrator enters them in Actions > Setup > Holiday Schedule (chapter 2.1). A holiday not entered counts as a working day.

Before you start

  1. Pick Days Between Two Statuses in Report.
  2. Tick the projects you want in Projects, or leave All projects.
  3. Pick the first status in From Status.
  4. Pick the second status in To Status.

Until you pick both statuses, the page says “Choose the status to count from and the status to count to.”

The status lists offer the names your work orders have used in the projects you ticked. Set Projects first. If you change it later, a status the new projects never used is cleared, and you pick again.

How it is worked out

For each work order:

  1. BigWave finds the first time it reached the To Status.
  2. It finds the first time it reached the From Status at or before that.
  3. The days between the two are the work order’s figure.

A status the work order started in counts from the moment the work order was made.

Each period shows the average of its work orders. Chart Data also shows the median, the middle value, which one slow job cannot drag up.

Days counted, under the description, says which basis the figures use.

What counts

A work order counts when all of these are true:

  • It reached the To Status at least once.
  • It reached the From Status before that.
  • It and its project are not deleted, and it is not cancelled.
  • Its project is one you ticked in Projects, or you left All projects.

A work order that never reached the To Status is in no period at all.

Work orders left out

A work order that reached the To Status but never the From Status before it is left out of the figure. A line under the chart counts them, for example “152 work orders were left out because they have no QUOTE SUBMITTED before their SCHEDULED.”

Under View records, the Left Out of Report tab lists these work orders and the reason for each.

Which date puts it in a period

The day the work order reached the To Status, on your company’s calendar.

Options

  • Count picks the basis.
    • Calendar days counts every hour. 4 pm to 9 am the next morning is 0.7 days.
    • Business days counts only Monday to Friday, and skips your company holidays. Friday 4 pm to Monday 9 am is 0.7 business days. Holidays come from Actions > Setup > Holiday Schedule. Reports > Setup > Company Holidays shows how many you have entered for this year.
  • Group By offers Company, Customer, Region, Technician and Project. Each group shows its own average side by side. The groups do not stack, because days do not add up.
  • If only one month has work orders that made the trip, a line under the chart says so. A status you added lately has little history yet.

Checking a figure

Press Chart Data, then View records on a row. The Data In Report tab lists each work order with:

  • the moment it reached each status, and who changed it
  • Calendar days and Business days

The columns take the names of your two statuses. Click a work order number to open it in a new tab.
