Part 4 — Report Details · Chapter 4.15

Quote Conversion

This chapter explains the Quote Conversion report. The rules every report shares are in chapter 4.1.

What it shows

Of the work orders that sent a quote in each month, quarter or year, the share the customer approved. A figure of 40% means 4 quotes in 10 turned into work.

What you need to do to make it work

  1. Map your quote statuses. An administrator opens Reports > Setup > Milestone Mapping and maps:

    • the status that means the quote went out, such as QUOTE SUBMITTED, to Quote Sent
    • each status that means the customer said yes, to Quote Approved

Tick the names, press Map Selected…, pick the milestone and press Map. Without Quote Sent the report is empty. Without Quote Approved every figure reads 0%.

The Milestone Mapping tab in Reporting Setup with the Map dialog open. The Map Selected... button, a ticked status and the Milestone list are boxed in red
The Milestone Mapping tab in Reporting Setup with the Map dialog open. The Map Selected... button, a ticked status and the Milestone list are boxed in red

If your office shows a yes by moving the work order straight on, to a status such as SCHEDULING REQUIRED, map that status to Quote Approved as well. Work that was never quoted reaches it too, but does not count.

  2. Move the work order through those statuses. The report reads the status changes, not the quote documents. A work order sitting in QUOTE SUBMITTED after the customer said yes counts as not approved.

Where the data comes from

The status changes on your work orders, from the audit log.

How it is worked out

For each work order that reached Quote Sent:

  1. BigWave puts it in the period it first reached Quote Sent.
  2. It counts as approved if it reached Quote Approved at any time after that, even months later.

The figure is the approved work orders as a share of all the work orders in the period.

A quote sent in the current month may not have its answer yet, so recent figures can rise as customers reply.

What counts

  • Each work order counts once, however many quotes it sent.
  • An approval before the quote went out does not count.
  • A deleted or cancelled work order does not count.
  • Projects narrows the report to the work orders in the projects you tick.

Which date puts it in a period

The day the work order first reached Quote Sent, on your company’s calendar.

Options

  • Group By splits the figure by Customer, Region, Technician or Project. The groups stand side by side, because shares do not add up.

Checking a figure

Press Chart Data, then View records on a row. The grid lists each work order with:

  • Quote Sent: when the quote went out, and who changed the status
  • Quote Approved: when it was approved and by whom, or “not approved”
